Service Agreement & Rental Guidelines

1. Rental Service Agreement

Terms of Rental Service Agreement ("Agreement") is made and entered into by and between, BZ Bees Resources, registration number: 002956037D (“Company”/”The Company”), located at E-1-16, Block E, Plaza Damas, Jalan Sri Hartamas 1, 50480 KL, and you (“Client” / “the Client”).

WHEREAS, the Client desires to engage BZ Bees Resources. This Agreement outlines the terms and conditions under which the Company will provide the rental Space (the ”Space”) Service and Crew Members Service (the "Crew") to assist Client with their upcoming event (the "Event").

Now henceforth, in consideration of the mutual covenants contained herein, the parties agree as follows:

2. Rental Space Hold

  • The Space will be placed on a tentative hold on the clients’ desired date(s) with understanding that the Space availability is on a first-come-first-serve basis.
  • The client is responsible to make the initial booking deposit payment with the online booking system to secure the Space upon confirming the Clients’ event date and time. The online booking system will only hold the Space for up to 10 minutes pending the payment. Failing to do so, the Space will be opened and be given to the next potential Client.

3. Schedule of Payment

  • Our booking system will collect the initial upfront payment of the Space venue rental as stipulated in the booking order page.
  • Payment Terms: The initial deposit for Confirmation & Balance Payable ONE Week before Event Date.
  • The Balance payment is dependent on any additional services rendered by the company.
  • Kindly email us the proof of payment(s) to finance@theark.events.

4. Method of Payment

  • Payment can be made by Personal/ Company Cheque, and Telegraphic Transfer.
  • Payment can be made via Personal/ Company Cheque and Telegraphic Transfer with the following bank details:-

5. Cancellation and Postponement Policy

  • All payments made are not refundable.
  • A change of event date and time is based on availability. The new date must be at least TWO (2) weeks before the event date.

6. Client and Guest(s) Comfort

  • For your comfort, we kindly recommend that guests bring a cardigan, shawl, or light wrap as the venue temperature may vary. The event space can get a bit cool sometimes especially during lesser crowds.
  • In practice of a multicultural and respective religion, all food is required to be pork-free.

7. The Crew Services

  • BZ Bees Resources agrees to provide TWO (2) Crew members at the fee of RM 60 per hour per person to assist Client during agreed-upon rental time frame with the following terms and conditions.
  • Client acknowledges that the Crew is employed by and under the direct supervision of the Company.
  • Upon request, additional event crew/ banquet staff is available at the fee of RM 60 per person.
  • Any requests from the Client shall be informed to the main event person in-charge from BZ Bees Resources. The Client is not in the jurisdiction to give any instructions to the Crew that conflict with the terms of this Agreement.

The Crew will assist the Client with the following services:

( i ) Included - The following services are included in this Agreement:

  • Food and Beverage Table: If Client is providing their own food and beverages (F&B) or has ordered a drop-off catering service, the Crew will assist with setting up the food and beverage table in the presence and led by the Client.
  • If Client has ordered from a catering company with a full banquet setup and banquet staff, the Crew will assist with any ad-hoc requests such as table arrangements or placement of food.
  • Cleaning Up: After the agreed-upon rental time frame has reached, the Crew will inform the Client and commence cleaning tasks such as collecting cups and paper plates.
  • Additional Assistance: The Crew will assist with any sudden additional request such as extra tables and chairs (subject to availability) on top of pre-arranged sitting arrangements prepared.

( ii ) Excluded - The following services are not included in this Agreement:

Limitation of Crew Services:

  • If the Client is providing their own food and beverages (F&B) or has ordered a drop-off catering service, the Client acknowledges the Crew is not responsible for replenishing food and beverages on the food and beverages spread.
  • To provide excellent service and oversee the overall administrative and logistic Event needs, the Crew service does not include table service and serving Client and guest(s) food and beverages.
  • Add-on services such as table decorations arrangements and table services are available with a fixed price.
  • Preparing or arranging client-provided food for the best gourmet experience is prepared by the Client in acknowledgement that they are familiar with the variety of dishes and the best way to serve food brought from home.

8. Corkage Fee

  • There's a one-time surcharge of RM 300.00 for bringing your own alcohol.
  • The Client acknowledges to make separate arrangements if there are intentions to serve complex cocktails or requires a bartender.
  • The Client agrees there are charges on per alcohol glasses used:
    • Wine glass: RM 3.00 per glass
    • Liquor glass: RM 5.00 per glass
    • Example: 30 pax of guests x 30 Liquor glasses = RM 90.00
  • The Client is responsible to confirm to BZ Bees Resources by TWO (2) weeks before the event date on the total quantity of wine or/and liquor glass needed for the Event.

( i ) Included Services:

You'll be provided with ONE ( 1 ) banquet staff to help with:

  • Supplying ice boxes and ice
  • Arranging your alcoholic beverages at designated tables

( ii ) Excluded Services:

Bartender or mixology services are not included. The banquet staff is not obligated to provide bartending services such as making cocktail drinks.

9. Decorations and Materials Used at the Space

  • Only blue tac, masking tapes or acrylic tapes that do not leave stains are allowed for hanging decoration pieces.
  • Double-sided tapes or cloth tapes on the floor are strictly prohibited.
  • All floor markings must be removed. Failure to do so will incur penalty charges (refer to Deep Cleaning).
  • The use of confetti or gold dust is allowed at a premium cleaning fee of an extra RM300 per event.
  • You are responsible for any damages at the venue. You are accountable for the venue upon handover, and the venue shall be returned in a similar condition without damages or missing items.

10. Deep Cleaning

  • The Client is responsible for any severe stains, dirt, or soiling incurred by any person(s) within the Space.
  • The Client acknowledges this requires a more extensive cleaning beyond the standard services provided by the Crew.
  • To provide a continuous clean and comfortable Space for subsequent clients and patrons, the Client acknowledges a mandatory deep cleaning fee of The Ark and The Atmosphere RM 300 and The Ark Plus RM 500 will be incurred by the Client, payable to BZ Bees Resources.

11. Indemnity and Hold Harmless

The Client is responsible & liable for lost items, damages, claims, demands and expenses (including legal costs and expenses) arising out of or that are in any way connected with injuries to any person(s), losses or damages to displays, equipment and other property brought onto the premises by your organisation or any members, agents, or representatives thereof.

12. Security

The Client acknowledges that the Space cannot be responsible for the safekeeping of equipment, supplies, written material or other valuable items left in the rental Space.

13. Limitation of Unwanted Incidents on Person(s)

BZ Bees Resources and the Crew shall not be responsible for any loss of life and health diagnosis such as food poisoning incidents that may occur during the rented hours.

14. Safety Guidelines for Children's Play Areas and Rentals

( i ) Client Responsibility:

  • Follow safety rules at the play area and for any rented equipment (like bouncy castles).
  • Provide adult supervision for children while they play.

( ii ) BZ Bees Resources and the Crew:

  • Offer advice on rental equipment to ensure children's safety (if rentals are outsourced).
  • Not liable for any accidents or injuries.

15. Audio-Visual (AV) Services

( i ) Standard Service:

One ( 1 ) AV personnel will be present at the AV console to manage the equipment during your event.

( ii ) Major Events:

For larger or more complex events, it's recommended that the Client designate its own AV personnel in addition to the provided one. This ensures a smoother operation for your specific event program.

Here are some reasons why you might consider having your own AV personnel for a major event:

  • Technical Complexity: If your event involves intricate audio/visual setups, presentations, or live streaming, having someone familiar with your program can anticipate and address any technical issues.
  • Synchronization: If your event features multiple presenters, speakers, or musical performances, your designated AV personnel can ensure seamless transitions and cue presentations on time.
  • Customization: They can personalize the AV experience to match your event's theme or branding.

16. Entire Agreement

  • This Agreement constitutes the entire agreement between the parties with respect to the subject matter hereof and supersedes all prior or contemporaneous communications, representations, or agreements, whether oral or written.
